How do you know if a project is a good fit? +
We have an honest conversation about your situation. We ask questions about your current workflows, team structure, budget, and timeline. If we think we're the right partner, we'll move forward. If not, we'll be direct and may recommend alternatives. We'd rather pass on a poor fit than deliver disappointing results.
How long does a typical project take? +
It depends on scope and complexity. A focused product strategy engagement might take 6–8 weeks. A full-stack custom application typically ranges from 16–32 weeks. We break work into phases: Align (1–2 weeks), Map (2–4 weeks), Design (4–8 weeks), Build (8–16 weeks), and Improve (ongoing). We're transparent about timelines and communicate delays early.
What should I budget for a project with Orbitline? +
Projects vary based on scope. A discovery phase might be $25k–$50k. A focused design system could run $50k–$150k. A full custom application typically ranges from $100k–$500k+ depending on complexity and team size. We'll provide a clear estimate during the sales process. Most clients see ROI within 6–12 months through reduced manual work and faster operations.
Who owns the software we build together? +
You own everything. The code, the design, the documentation—all of it belongs to you. You can modify it, maintain it yourself, or hire someone else to maintain it. We provide full source code and documentation to make that possible. Some clients prefer ongoing support from us; others hand off to their own team. Your choice.
How do you handle security and data privacy? +
Security is built in from the start, not added later. We follow industry best practices for authentication, encryption, data handling, and access control. For projects requiring it, we design to HIPAA, GDPR, SOC 2, or other compliance standards. We conduct security reviews and penetration testing. You control where data lives and who has access. We're transparent about security decisions throughout the project.
Will the software be accessible to all users, including those with disabilities? +

We've done this many times. We audit the existing system, reverse-engineer documentation, and figure out how to connect new software to what you have. Sometimes that means building an integration layer; sometimes we modernize the existing system incrementally. We're honest about complexity and help you prioritize based on value and risk.
How involved does my team need to be during the project? +
You need to be involved, but we don't require full-time commitment. We recommend a key stakeholder (product lead, operations leader) for weekly check-ins and design reviews. Key operators should participate in user testing and feedback sessions. We try to respect your team's time while building something that actually works for your people.
What happens after we launch? +
We provide support during launch: training your team, monitoring for issues, responding to questions. After the initial period, you have options: ongoing support from us for new features and optimization, or you maintain it yourself. Many clients prefer ongoing partnership because iteration based on real usage makes the software better over time.
How do you measure success? How do we know the project worked? +
We define success metrics during discovery: reduced manual work, faster decision-making, improved customer satisfaction, operational efficiency gains. We establish baselines, track metrics during and after launch, and iterate based on evidence. How do you approach discovery and understanding our workflows? +
Discovery is our secret sauce. We don't rely on documentation or stakeholder interviews alone. We observe your teams in action, interview multiple operators, identify hidden workflows and bottlenecks, and validate assumptions with users. We create workflow diagrams, process maps, and problem statements. By the end of discovery, we have a clearer understanding of your operations than you might.
